Who we are

Avellane Limited is responsible for your personal information on this website and in our emails (we’re the “controller” under UK data protection law). We’re registered in England and Wales (company number 17519717), and our registered office is Shop 1, 83 High Street, Kinver, Stourbridge, West Midlands, DY7 6HD, United Kingdom. For anything on this page, email hello@avellane.co.uk or call 01905 673672.

Visiting this website

We don’t add cookies, analytics or tracking to this site. To show it to you, our hosting provider, Vercel Inc., processes technical information such as your IP address, browser and device type, and the pages you request. We need this to deliver the site and protect it from attacks and abuse, which is our legitimate interest. Vercel also uses some of this information for its own security, as its privacy policy explains. If Vercel needs to check that a visitor is a real person, for example during an attack, it may store a short-lived security token in your browser. This is strictly necessary and isn’t used to track you.

When you email us

When you email us, we receive your name, email address and whatever you choose to include. We use it to reply and, if we go on to work together, to run that work and send invoices. We rely on our legitimate interest in answering enquiries and running our business. If you’re a sole trader and we agree to work together, we also need it for our contract with you, and the law requires us to keep invoices and accounting records. You don’t have to give us any personal information, but we can’t reply without an email address. We don’t make automated decisions about you.

Who sees it

We never sell your information. We share it only with services that help us run the business and act on our instructions: Vercel for website hosting and Google (Google Workspace) for email. If we work together, our accountant may see invoices and related records. We’ll also disclose information if the law requires it.

Outside the UK

Vercel is a US company and processes data in the United States and elsewhere. It’s certified under the UK Extension to the EU-US Data Privacy Framework (the “UK-US data bridge”), and its data processing terms also include the UK’s international data transfer addendum. Our email runs on Google Workspace, and Google may store and process it in the United States and other countries where it or its subprocessors have facilities. Google LLC is also certified under the UK-US data bridge.

How long we keep it

The request logs we can see in our Vercel account are kept for about a day, and Vercel may keep some security records for longer under its own policy. If an enquiry doesn’t lead to work, we delete the emails within 12 months. If we work together, we keep project emails, invoices and records for six years after the end of the financial year in which the work finishes, because tax law requires it and in case of legal claims.

Your rights

You can ask us for a copy of your personal information, and ask us to correct it, delete it, restrict how we use it, or object to us using it. Where it applies, you can also ask us to send it to you or to another organisation in a reusable format. There’s no charge, and we’ll normally reply within one month. Just email hello@avellane.co.uk.

Complaints

If you’re unhappy with how we’ve handled your information, you have the right to complain to us at hello@avellane.co.uk. We’ll acknowledge your complaint within 30 days, look into it, keep you updated and tell you the outcome. You can also complain to the UK regulator, the Information Commission (ICO), at ico.org.uk/make-a-complaint.

Software we build for clients

When we build or support software for a client, the personal information inside it is the client’s responsibility, and we only handle it on their instructions. The client’s own privacy notice explains how it’s used.

Changes

If we change how we use personal information, we’ll update this page and the date at the top.
